- The bid process: We do the planning and preparation to help you enlist wide-ranging support. With many years of experience and success, we can guide you step-by-step through long term conference planning, including the initial bid process.
- Registration: Our fully networked, state-of-the-art computer software is custom-designed for conference management. We can provide you with a fully customised online registration system for your conference with comprehensive reports on a regular basis. Features include payment processing, personalised broadcast confirmation emails, and the ability for conference attendees to view and edit their data on-line.
- Abstract handling: Entering, processing and reviewing abstracts, all done online and in a safe and structured way. This module also provides the possibility to send status letters, to enter authors, reviewers, chairmen and chairwomen and to classify the abstracts according to the various sessions and themes. The entire process will, from the Call for Abstracts up to and including the Scientific Programme, be handled by BDP and the same time allowing the Scientific Committee to draw up the programme and to send the book of abstracts to the printer.
- Selecting a venue: We know them, we have seen them, we can find the most appropriate one for you. From a 1-day board meeting for 6 people to a week-long international conference for 12.000 people, we know where to find the most suitable venue for your event.
Our staff handles various international destinations and understands the needs and culture of each destination - from Scandinavia to Europe and even Cuba.
- Accommodation: Fully managed, from first-class hotels to budget and sleep-in options. We have a long-established and strong relationship with the Danish hotel industry and will use this to offer the most suitable accommodation options for your conference. Real-time online accommodation booking is an integral part of our service.
- Funding and sponsorships: We assist you in sourcing and negotiating sponsorships for your conference. Our in-house Exhibition and Sponsorship Manager will support you in optimising the revenue from conference sponsorship and industry participation in your event. This includes the initial drafting of proposals and the negotiation and delivery of agreements.
- Financial management: Our project managers work with you in this critical area. Providing you with advice and financial updates at regular intervals, we guarantee full transparency and clarity in your conference finances.
- Social events: We choose the ideal venues, create an exciting range of themes and handle every aspect of the event. We work hard to create new concepts, original themes and imaginative solutions, our experience in handling Denmark's largest events for both Danish and international clients, is testament to our professionalism.
- On-site management: Including registrations, venue liaison and speaker requirements. We can manage every detail of your event onsite including venue fit-out, registration desk, audio-visual and IT requirements, insurance, temporary staffing and security.
- Tour programme: Tailor-made programs for delegates and accompanying persons, along with pre- and post-conference tours.
